How we handle your information.

StratumFlo Pty Ltd (ABN 20 696 689 906), Sydney, Australia. We keep this short and plain. We only collect what we need to answer you, run the voice-agent demo, and manage a booking — and we handle it under the Australian Privacy Act 1988 and the Australian Privacy Principles (APPs).
What we collect, and why
When you send an enquiry
The contact form collects your name, email, optional company, and your message, so we can reply. It is submitted through Web3Forms, which forwards it to us by email.
When you book a call
Bookings run through Cal.com, which collects the details you enter (such as name, email and any notes) to schedule the meeting.
When you use the voice agent (Flo)
The Talk to Flo demo is an AI voice agent that runs in your browser. When you start a call:
- You're told up front that you're speaking with an AI and that the call is recorded. Starting the call is your agreement to that recording. You can end the call at any time.
- Your microphone audio and a transcript are processed by our voice platform, Retell AI, to run the conversation.
- We keep a short, durable summary of the call (for example: whether a meeting was booked, and an estimated cost). The full recording and transcript are retained by Retell for a limited window (around 30 days) and then age out.
- If you ask us to email you a cost receipt, we use the email address (and optional phone number) you give to send it and to follow up. That contact detail may be stored in our CRM, HubSpot, and the receipt sent via an email provider (Resend). If you don't ask for a receipt, we don't collect your contact details from the call.
The demo is anonymous by default — we don't try to identify who is calling unless you choose to give us your details.
Cookies
We use one small first-party cookie on the Talk to Flo page, sf_visitor. It's a random identifier that lets us connect your visit to a call you make on our own site, so the demo works smoothly. It lasts about 12 months.
It is a functional cookie only: it is not used for advertising, cross-site tracking, or profiling, and it is not shared with third parties for those purposes. Cal.com and our booking/analytics providers may set their own cookies when you interact with their embedded tools.
Who we share it with
We don't sell your personal information. We share it only with the service providers that make the above features work — Web3Forms, Cal.com, Retell AI, HubSpot and Resend — and only as needed to provide the service. Some of these providers are located overseas (including the United States), so your information may be handled outside Australia. We otherwise disclose information only where required or permitted by law.
How long we keep it
Enquiries and booking details are kept for as long as needed to deal with your request and our business records. Voice recordings and transcripts age out of our voice platform within roughly 30 days; we retain only a brief summary beyond that. You can ask us to delete your details sooner (see below).
Your choices and rights
- You can ask us what personal information we hold about you, and ask us to correct or delete it.
- You can choose not to use the voice demo, the contact form, or the booking tool — none of them is required to read the site.
- If you have a concern about how we've handled your information, contact us first. If you're not satisfied, you can complain to the Office of the Australian Information Commissioner (oaic.gov.au).
